Shown step by step in ARTis.

An IVF cycle runs for three to six weeks. In that time the clinic decides the protocol, the dose for each day, when to scan, when to trigger and when to collect eggs. Each decision depends on what happened the day before.

In many clinics those decisions sit in different places: doses on a paper sheet, scans in the ultrasound room, hormone values in lab reports and the package in the billing system. Every handover is a chance to miss something.

This guide follows one cycle from start to finish, and shows how each stage runs in ARTis. Most of it is about stimulation, where most of the decisions are made.

What IVF cycle management software does

IVF cycle management software runs a treatment cycle as one connected record, from the moment it is planned to the pregnancy outcome. The clinician, nurse, embryologist, pharmacy, front desk and billing team all work from the same data.

A cycle passes through seven stages:

Package: what the cycle includes and costs.

Protocol: the stimulation plan and its key dates.

Stimulation: daily doses, scans and hormone checks.

Trigger and egg collection: timed to the hour.

Lab: fertilisation and embryo development.

Transfer or freezing: a fresh transfer or a freeze-all decision.

Outcome: the pregnancy result, linked back to everything before it.

Stage 1: Set up the cycle package

Most Indian clinics sell IVF as packages, and a busy clinic can run more than 20 of them. When package details live only with the counsellor or in a price list, patients get different answers, services slip outside the package unnoticed, and refunds are worked out by hand.

In ARTis, the clinic defines each package once: single, double or three-cycle stimulation, own or donor eggs, with or without medicines, and add-ons. Each package lists what it covers, such as consultations, investigations, procedures, medicines, consumables and cryopreservation. Package lists can be uploaded from Excel.

When a patient’s cycle is allocated to a package, ARTis tracks every service against it. Staff can see when something falls outside the package, and services that have not been paid for cannot be added by mistake. For more on pricing packages, see how to track profitability with IVF cycle package management.

Stage 2: Start from a protocol, not a blank sheet

Building every stimulation plan from scratch takes the doctor’s time and lets practice drift between doctors. A protocol template keeps the clinic consistent and still lets each plan fit the patient.

In ARTis, the clinic defines its own protocol templates, such as an antagonist protocol. When stimulation starts, the doctor picks the protocol and sets the key dates:

Last menstrual period (LMP)

Down-regulation date, where the protocol uses one

Stimulation start date

Estimated egg collection date

Trigger date and time

The stimulation chart is laid out from these dates. As the cycle moves, the doctor edits any of them, and the change stays on the cycle record.

Stage 3: Stimulation management, day by day

Stimulation is the busiest part of the cycle. Every few days the doctor reviews the response and adjusts doses, scan timing and the trigger plan. Each review needs the full picture: what was given, how the follicles are growing, how the lining is responding and what the hormones show.

When that picture is spread across a paper sheet, the ultrasound register and lab reports, the doctor rebuilds it from memory at every review. IVF stimulation management software puts it on one screen.

The stimulation chart

In ARTis, every stimulation cycle has one chart. Each column is a day, shown as both the date and the cycle day, and today’s column is highlighted. Each row is something the team tracks.

Row on the chart

What it shows

Medicines

Each drug on its own row, with the dose given each day

Follicle scans

The number of follicles of each size, for the left and right ovary, on each scan day

Endometrium

Lining thickness in mm on each scan day

Hormones

Results such as oestradiol, LH and progesterone, on the date they were taken

Doses come straight from the pharmacy

A paper dose sheet shows what was planned. It doesn’t always show what was actually given.

In ARTis, the doses on the chart come directly from what the clinic pharmacy dispenses. Nobody types them in a second time. The chart shows what the patient actually received each day, and the same dispensing record flows into the package and the bill.

Stimulation medicines are often the most expensive part of a cycle. Because the chart, the pharmacy and billing share one record, the clinic always knows what was used, what the package covers and what must be charged.

Follicle monitoring

On each scan day, follicle counts by size go into that day’s column for each ovary. Over several scans, the doctor sees the cohort growing towards the size they are waiting for.

HOW TO READ IT
A scan might record 3-4 against one follicle size: three follicles of that size in the left ovary and four in the right. In the same chart, the endometrium might read 6.8 mm on day 6 and 10.8 mm on day 10. The doctor sees the follicles and the lining together, without opening a separate report.

Because scans sit in the same chart as the doses, the doctor sees cause and effect: what changed after a dose went up or down.

Hormones and endometrium

Hormone results arrive on their own schedule. In the chart, each result sits on the date the sample was taken, next to that day’s scan and dose. When the doctor makes the trigger decision, every input is lined up in one place.

One chart for the whole team

The doctor, the nurse giving injections and the embryologist preparing for egg collection all look at the same chart. It prints on the clinic’s own letterhead, so the patient can take home a clear record of their stimulation.

Stage 4: Trigger and egg collection

The trigger injection sets the time of egg collection, usually about 34 to 36 hours later. If the trigger time and the theatre booking live in different places, the procedure can be planned against the wrong time.

In ARTis, the trigger date and time sit on the protocol. From the same screen, the doctor books the egg collection, and the slot goes straight into the operating theatre calendar. The theatre team plans from the same dates as the doctor.

At egg collection, the cycle passes to the lab in the same record: the patient, the protocol and the full stimulation history are already there.

Stage 5: Lab, then transfer or freeze-all

In ARTis, the lab records fertilisation and embryo development day by day, from Day 0 to Day 7, on the same cycle. The team then decides between a fresh transfer and freezing all embryos for later.

Either way, the cycle stays connected. An embryo frozen today and transferred months later still links back to the stimulation that produced it. For the lab and cryo stages in detail, see IVF lab and cryo management software.

When the plan changes

Not every cycle goes to plan. The response may be lower than expected, the lining may not be ready, or the patient may need to stop.

Protocol changes: the doctor edits the protocol dates, and the cycle record keeps the history.

Dose changes: each change shows on the chart against its day, as dispensed by the pharmacy.

Cancellations: the cycle is cancelled at a recorded stage, and the refund follows the cancellation scheme the clinic set for that stage. Nobody calculates it by hand, and two patients in the same situation get the same answer.

Cycle optimisation: learning from every cycle

A cycle recorded this way becomes data the clinic can learn from. In ARTis, a consolidated cycle report brings every step together, from egg collection to the pregnancy outcome.

Across many cycles, the clinic can review outcomes by protocol and by package, compare what each package costs against what it earns, and see at which stage cycles are cancelled. That is what turns cycle management into cycle optimisation. For the reports worth reviewing each month, see data management in fertility clinics.

One cycle, one record

Every stage above happens in the same system: the package, the protocol, the stimulation chart, the pharmacy, the theatre booking, the lab, billing and the outcome. The clinical team, the front desk and accounts all see one version of each cycle. For the rest of the clinic, from front desk to reports, see IVF clinic management software.

See a full cycle in ARTis
We’ll walk your team through one cycle, from package and protocol to the stimulation chart and outcome. Book a demo →

Frequently asked questions

What is IVF cycle management software?

It is software that runs an IVF cycle in one record, from the package and protocol through stimulation, trigger, egg collection, the lab, transfer or freezing, to the outcome. Every team works from the same data, so nothing is re-entered between stages.

What is a stimulation chart in IVF?

It is a day-by-day record of ovarian stimulation. It shows each drug and the dose given, follicle scan results for each ovary, endometrial thickness and hormone values, lined up against the date and the day of the cycle.

What should IVF stimulation management software track?

At minimum: the protocol and key dates, every drug and dose by day, follicle counts and sizes for each ovary, endometrial thickness, hormone values, and the trigger date and time.

Can the protocol be changed after the cycle starts?

Yes. A protocol template gives the starting point, and the doctor edits dates such as stimulation start, estimated egg collection and trigger as the cycle progresses. In ARTis, clinics define their own protocol templates, and every change stays on the cycle record.

Can cycle management software handle double stimulation packages?

Good software lets the clinic define packages by stimulation type, such as single, double or three-cycle stimulation, with add-ons and set inclusions. ARTis supports this through configurable cycle packages.

How does cycle management connect to billing?

When the cycle is linked to its package, services and medicines are tracked against what the package includes. In ARTis, medicines dispensed by the pharmacy appear on the stimulation chart and flow into billing, and a cancellation refund is set by the stage reached.

What happens if a cycle is cancelled?

The cancellation is recorded against the cycle with its stage. In ARTis, the refund follows the cancellation scheme set for that stage, so the amount is consistent and needs no manual calculation.

<div class="wp-block-buttons
